What is a location?

A location is a segmented team of users within your Scalera account that can have distinct product catalogs, workflows, and branding preferences. Users can only access tenders and offers from locations they are associated with. There is no limit on the number of locations a user can be associated with.

How is data protection ensured?

Data protection is Scalera's top priority. Your data is protected both during transmission via TLS and in the cloud through end-to-end encryption. We apply the principle of least privilege and regularly adjust access permissions. Additionally, we use cloud security posture management to monitor and secure our cloud environments.

Can we start with one product line or location before rolling out company-wide?

Yes, many customers start with their highest-volume or most standardized product lines, then expand to other departments or locations after proving value.

Can Scalera recognize both our own products and competitor products in tenders?

Yes, Scalera recognizes both your own products and competitor products mentioned in specifications, and suggests the best matching alternatives from your product catalog.

What is a credit?

A credit is a unit of value that can be exchanged on the Scalera platform to process tenders. Each Scalera subscription plan comes with an annual credit allowance tailored to your tender volume.

Do we need special IT infrastructure to use Scalera?

No, Scalera is web-based and requires no local installation.

How are credits consumed?

Credits are consumed when you process a tender request through Scalera - including position extraction and product matching. You need two credits to process one tender. One credit is used when extracting relevant tender positions and one credit is consumed when generating the AI-product recommendations. Once a tender is processed, any revisions or updates to that same tender will not cost additional credits.

Does Scalera work with drawings?

Scalera excels at extracting information from text-based specifications. For drawings, we focus on extracting relevant text information and technical parameters rather than visual interpretation.

Which systems can be integrated?

Scalera can be integrated with various ERP, CRM, and PIM systems. For ERP systems, Scalera includes pre-built interfaces in SAP IDoc format, a pre-built REST API, and the ability to configure custom interface formats. Other interfaces, webhooks, and data exports in various formats are also possible.

What happens to our tender data? Is it secure?

We use private AI instances and your data is never used to train public LLMs. Scalera is ISO-certified for data security, and we can provide detailed information about our data processing agreements and infrastructure.

How long does the implementation take?

Implementation typically takes 2-12 weeks, depending on complexity. Most customers with standard products can go live within 2-4 weeks. We include onboarding and training in this timeline.

Can Scalera identify missing accessories?

Yes, the AI learns from employee behavior and can suggest complementary products/accessories.

How much time can we save with Scalera?

What if the tender has incomplete or unclear specifications?

Scalera uses confidence scores to indicate certainty levels. Low-confidence matches are flagged for employee review, allowing you to prioritize where to invest time or request clarification from customers.

What if multiple products should be offered for one tender position?

Scalera remembers when multiple products were offered together and can suggest product combinations.

How does Scalera handle customized or configured products?

Scalera works best with standard products (with fixed article numbers) and configurable products with up to 30 definable attributes. The AI extracts technical specifications from tender documents to match the right product variant.

What if the request is not in a tender document, but in the email text?

Scalera recognizes tender requests directly in email texts, even when there is no separate tender document. The system automatically reads the requested positions from the email text and extracts the associated quantities and units where available.

What types of documents can Scalera process?

Our software processes PDFs (scanned and digital), GAEB files, Excel/CSV files, XML, emails (with free text or attachments), and ÖNORM/ONLV formats.

What if a different unit of measure is specified than in my product data?

If a conversion factor is specified in your product data, Scalera automatically converts. If that's not possible, Scalera provides a notification and you can add the converted quantity manually.

Does Scalera work with our existing product data and ERP system?

Yes, Scalera integrates with your existing systems. We can import product data via manual upload (updated quarterly) or through live API integration with systems like SAP and others. Price calculations remain in your ERP/CRM system.

How many completed offers are needed before the product suggestions become good?

This depends on your product portfolio and the type of requests you receive. Scalera learns continuously and often provides useful product suggestions from the first offer onward. We recommend 50-150 completed offers for optimal results, depending on the complexity of your product portfolio.

What languages does Scalera support?

Scalera supports all major European languages including German, English, French, Italian, Spanish, and more. This goes both for tender documents as well as the user interface for your employees.

Does Scalera learn over time? And if so how does that work?

Yes, Scalera learns continuously. With each completed offer, Scalera remembers which products were offered for each tender position. This makes the product suggestions increasingly accurate and relevant over time.

What if a product suggestion doesn't fit?

Click on the suggested product to see a list of alternative suggestions from the AI that can be selected directly. Alternatively, use Scalera's intelligent product search, which finds matching products from your complete portfolio in real time as you type.

Can multiple team members work on the same tender?

Yes, Scalera categorizes positions by product groups, allowing different team members to filter and work on their relevant sections simultaneously.

Is my AI training used for other customers?

No, the offers you complete are used only for your own product suggestions. There is no cross-customer AI training.
